This role reports into the National Property Portfolio Manager & National Development Manager within the Property & W360 NZ team and provides professional administrative coordination support, whilst maintaining the appropriate level of confidentiality and integrity of all communication and information engaged within the department. The stakeholders are vast and varied, from internal construction and design team to external landlords. The Property & Development Team Assistant is an integral part of the business and will need to be a strong communicator and have the ability to communicate at all levels as well as prioritise and manage multiple stakeholders.

Key responsibilities of the role include:
Efficiently manage diaries, schedule appointments, and coordinate various meetings (in-person, phone, video, leadership, team, and portfolio reviews), including document preparation, agenda distribution, and room/catering booking.
Handle purchase order and invoice management for the Property & Development team, along with coding expenses and reconciling monthly credit card statements.
Arrange and plan travel according to company guidelines and facilitate the onboarding process for new team members.
Manage communications and updates for the Property Management team and type various correspondence like letters, memos, notes, and emails.
Assist with the Board Reporting (Property Committee) process, including the compilation and circulation of board papers and supporting documents.

To be successful in this role, your experience will likely reflect:
Exceptional written and verbal communication skills, coupled with solid organizational and time management abilities.
Ideally experienced with Gmail, Google Calendar, Google Drive, and Google Meet, in addition to intermediate proficiency in MS Office Suite applications.
Demonstrates a high level of integrity and the ability to maintain confidentiality.
Exhibits a personable attitude and strong business acumen.
